Quality Policy

The purpose of the Quality Management System is to ensure that the products and services provided to our customers consistently meet or exceed their expectations. The company operates a system that regularly evaluates its processes and customer needs and has set quantifiable goals with plans in place to ensure that they are improved year on year in accordance with BS EN ISO 9001 – Quality Management System requirements for security guarding, staff screening and key holding services. 

It is the policy of Evolve Security Solutions Limited to maintain, on a continual basis, an effectively managed Quality Assurance Program, which will assure customers that the products supplied conform to the laid down procedures or disciplines of the company, which will ensure that we meet the customers’ needs and expectations. 

The Management of Evolve Security Solutions Limited is firmly committed to the procedures included in this Quality Manual, and the total participation of all personnel are mandatory. The Evolve Security Solutions Limited policies sets a framework to set quality objective to cover scope of quality management systems. 

The QA is entrusted with the authority and responsibility for the control of the Quality Management Systems. The QA cannot be over-ruled on matters of quality and in the event of differences of opinion on quality matters; the QA has the responsibility to refer such items to the Managing Director for resolution. 

This policy of Quality Assurance is in place to ensure that the overall organizational goals of the company are met to satisfy management commitment to satisfy applicable requirements to overall business. This policy is the company’s commitment to comply with quality management systems applicable requirements and systems continual development. The goals of this company are to ensure that the best possible product or service is supplied to our valued customers, and that we can meet their needs and requirements as effectively and efficiently as possible. 

Our organizational goals are to ensure that the changes required within our documented management systems to meet the requirements of BS EN ISO 9001, written to all Standards, Codes of Practice and Schedules which are performed in a managed methodical way to ensure that the system is fully understood and implemented throughout the company. 

Evolve Security Solutions Limited will make this Policy available to all stakeholders, shareholders, staff and general public on request.

Health and Safety Policy

Evolve Security Solutions Limited Provide security guarding and key holding and intruder alarm response services to residential and business premises. At Evolve Security Solutions Limited Directors and Senior Management are committed to provide adequate control of the health and safety risks arising from our work activities under the Health and Safety at Work etc. Act 1974; by consulting with its employees on matters affecting their health and safety at workplace. Evolve Security Solutions Limited ensures safe handling and use of substances and provides adequate information instruction and supervision for employees. 

Evolve Security Solutions Limited is committed to ensure that all employees are competent to do their tasks, and to give them adequate training. Evolve Security Solutions Limited as an employer understand their responsibility to report certain serious workplace accidents, occupational diseases and specified dangerous occurrences (near misses) under RIDDOR - Reporting of Injuries, Diseases and Dangerous Occurrences Regulations 2013. Evolve Security Solutions Limited is committed to prevent accidents and cases of work-related ill health to maintain safe and healthy working conditions. 

Therefore, we provide, so far is reasonably practicable: -

  • Safe plant and equipment. 
  • Safe means of handling and transporting articles, substances and people 
  •  Adequate training, instruction, information and supervision
  • A safe place of work with safe access and egress.

Management at Evolve Security Solutions Limited are committed to ensure, so far as is reasonably practicable, that the way we carry out our security operations does not affect the Health and Safety of persons who are not our employees, for example visitor and contractors. 

It is also recognized that where we produce articles and substances for use at work or we erect or install any plant or equipment, we have a duty to ensure the Health and Safety or those who use them and make available all the required information for their Health and Safety. 

Environmental Policy

Evolve Security Solutions Limited recognises that to achieve continued success it must maintain a quality culture throughout the organisation and therefore are fully committed to BS EN ISO 9001:2015. We also recognise that even though our activities have minimal adverse impact on the environment we have a duty of care to protect it wherever we can and therefore we also commit ourselves to BS EN ISO 14001:2015

We underpin our commitment to these standards by adopting the following working practices in all that we do:

  • Ensure that environmental management is integrated into every aspect of our business operations to ensure environmental issues are addressed.
  • Ensure compliance with all relevant legislation and regulations and aspire to best practice.
  • Review current activities, products, and services with a view to minimise the environmental impacts and reduce, wherever practicable, the level of harmful emissions and prevention of pollution.
  • Reduce our use of natural resources such as energy and water, and maximise the efficient use of such resources, reuse rather than dispose whenever possible, promote recycling and the use of recycled materials.
  • Ensure that all employees understand their responsibilities in relation to the Environmental Policy
  • Encourage the implementation of sound environmental practices by all people within the organisation.
  • Ensure that suppliers and contractors minimise the impact of their operations on the environment and actively support our environmental programmes through an environmentally sensitive purchasing policy.
  • Where appropriate, support through community programmes, the promotion of environmental protection by relevant external groups and organisations
  • Monitor progress on a regular basis to identify strengths and areas for improvement and to highlight actions required to prevent potential deficiencies. To implement this policy, we will develop a set of objectives and targets identified because of our environmental review, which relate to the environmental impacts of our organisation.

Actions, to achieve this policy require us to focus on the following areas:

  • Energy use
  • Waste management
  • Recycling initiatives
  • Staff training and communication on environmental issues
  • Purchasing arrangements
  • Business travel

We will establish and set relevant environmental objectives at all levels and review these at regular intervals. The company will communicate on their environmental aspects if requested.

Employees should also bear in mind that they can be held personally liable for any act of unlawful discrimination.

Employees must not harass, bully or intimidate other employees for reasons related to one or more of the protected characteristics. Such behaviour will be treated as potential gross misconduct under the Company’s disciplinary procedure. Employees who commit serious acts of harassment may also be guilty of a criminal offence. 

Employees should draw the attention of their line manager to suspected discriminatory acts or practices. Employees must not victimise or retaliate against an employee who has made allegations or complaints of discrimination or who has provided information about such discrimination. Such behaviour will be treated as potential gross misconduct under the Company’s disciplinary procedure. Employees should support colleagues who suffer such treatment and are making a complaint.

Modern Slavery Policy

Anti-Slavery and Human Trafficking Policy of Evolve Security Solutions Limited. 

This policy applies to all persons working for us or on our behalf in any capacity, including employees at all levels, directors, officers, agency workers, seconded workers, volunteers, agents, contractors, and suppliers.

Evolve Security Solutions Limited strictly prohibits the use of modern slavery and human trafficking in our operations and supply chain. We have and will continue to be committed to implementing systems and controls aimed at ensuring that modern slavery is not taking place anywhere within our organisation or in any of our supply chains. We expect that our suppliers will hold their own suppliers to the same high standards.

Commitments

Modern Slavery and Human Trafficking

Modern slavery is a term used to encompass slavery, servitude, forced and compulsory labour, bonded and child labour and human trafficking. Human trafficking is where a person arranges or facilitates the travel of another person with a view to that person being exploited. Modern slavery is a crime and a violation of fundamental human rights.

 Commitments

We shall be a company that expects everyone working with us or on our behalf to support and uphold the following measures to safeguard against modern slavery: 

  • We have a zero-tolerance approach to modern slavery in our organisation and our supply chains.
  • The prevention, detection, and reporting of modern slavery in any part of our organisation or supply chain is the responsibility of all those working for us or on our organisation or supply chain is the responsibility of all those working for us or on our behalf. Workers must not engage in, facilitate, or fail to report any activity that might lead to, or suggest, a breach of this policy.
  • We are committed to engaging with our stakeholders and suppliers to address the risk of modern slavery in our operations and supply chain.
  • We take a risk-based approach to our contracting processes and keep them under review. We assess whether the circumstances warrant the inclusion of specific prohibitions against the use of modern slavery and trafficked labour in our contracts with third parties. Using our risk based approach, we will also assess the merits of writing to suppliers requiring them to comply with our Code of Conduct, which sets out the minimum standards required to combat modern slavery and trafficking.
  • Consistent with our risk-based approach we may require:
    – Employment and recruitment agencies and other third parties supplying workers to our organisation to confirm their compliance with our Code of Conduct
    – Suppliers engaging workers through a third party to obtain that third parties’ agreement to adhere to the Code.
  • As part of our ongoing risk assessment and due diligence processes, we will consider whether circumstances warrant us carrying out audits of suppliers for their compliance with our Code of Conduct.
  • If we find that other individuals or organisations working on our behalf have breached this policy, we will ensure that we take appropriate action. This may range from considering the possibility of breaches being remediated and whether that might represent the best outcome for those individuals impacted by the breach to terminating such relationships.

Data Protection Policy

Our data protection policy sets out our commitment to protecting personal data and how we implement that commitment with regards to the collection and use of personal data.

We are committed to:

  • Ensuring that we comply with the eight data protection principles, as listed below.
  • Meeting our legal obligations as laid down by the Data Protection Act 1998
  • Ensuring that data is collected and used fairly and lawfully.
  • Processing personal data only in order to meet our operational needs or to fulfil legal requirements.
  • Taking steps to ensure that personal data is up to date and accurate.
  • Establishing appropriate retention periods for personal data
  • Ensuring that data subject's rights can be appropriately exercised.
  • Providing adequate security measures to protect personal data.
  • Ensuring that a nominated officer is responsible for data.
  • Protection compliance and provides a point of contact for all data protection issues.
  • Ensuring that all staff are made aware of good practice in data protection.
  • Providing adequate training for all staff responsible for personal data
  • Ensuring that everyone handling personal data knows where to find further guidance.
  • Ensuring that queries about data protection, internal and external to the organisation, is dealt with effectively and promptly.
  • Regularly reviewing data protection procedures and guidelines within the organisation

Data Protection Principles

  1. Personal data shall be processed fairly and lawfully.
  2. Personal data shall be obtained for one or more specified and lawful purposes and shall not be further processed in any manner incompatible with that purpose or those purposes.
  3. Personal data shall be adequate, relevant, and not excessive in relation to the purpose or purposes for which they are processed.
  4. Personal data shall be accurate and, where necessary, kept up to date.
  5. Personal data processed for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes.
  6. Personal data shall be processed in accordance with the rights of data subjects under the Data Protection Act 1998.
  7. Appropriate technical and organisational measures shall be taken against unauthorised and unlawful processing of personal data and against accidental loss or destruction of, or damage to, personal data.
  8. Personal data shall not be transferred to a country or territory outside the European Economic Area unless that country or territory ensures an adequate level of protection for the rights and freedoms of data subjects in relation to the processing of personal data.
